Terms of Use & Booking

Please read these Terms before submitting a booking.

A. Booking and Platform Terms

1. Company, brand and scope

Beyond Stay is a booking and guest-services platform operated by CLARITY GROUP ΟΕ, VAT No. 801813489, GEMI No. 163834903000, registered at 52 Ploutonos Street, Dafni 17236, Greece (“Clarity”, “we”, “us”). Beyond Stay is a trading brand and service of Clarity and is not a separate legal entity. These Terms govern use of the platform, accommodation booking support, payment coordination and related guest services.

2. Accommodation provider and Clarity’s role

Accommodation is supplied and operated by the business or person legally responsible for the selected property (the “Accommodation Provider”). The Accommodation Provider is responsible for the lawful operation, condition, safety and delivery of the stay and issues the applicable accommodation receipt or invoice. Booking-specific information identifies or makes available the relevant Accommodation Provider and receipt issuer. Clarity operates the platform, coordinates the reservation and customer communications and, where applicable, collects payment as the Accommodation Provider’s authorised collection agent. Clarity is responsible for its own platform, booking, communication and payment-handling obligations. Nothing in these Terms presents Beyond Stay as a separate contracting company.

3. Booking formation

Availability and prices are obtained from the connected property-management system. A booking is confirmed only after the applicable payment has been successfully verified, the reservation has been recorded and checked in the inventory system and Clarity has issued a written booking confirmation. A quote, inquiry, payment authorisation or temporary reference alone does not reserve dates. The only temporary inventory protection before confirmation is an explicitly created bank-transfer Hold, which lasts only until the stated one-hour verification deadline and is automatically released if the pending payment is not approved in time. By selecting “Book & Pay Now”, the guest submits a booking with an obligation to pay and accepts these Terms, the displayed cancellation policy and the property-specific rules.

4. Prices, commission, taxes and receipts

Before the booking is submitted, the platform displays the total amount payable and the applicable breakdown, including accommodation, cleaning or laundry charges, discounts and taxes or statutory charges collected online. Clarity’s commercial remuneration is agreed with the Accommodation Provider and is incorporated into the displayed final price; it is not a separate guest charge unless expressly shown before booking. The Accommodation Provider issues the accommodation receipt or invoice. Any receipt issued by Clarity relates only to amounts or services for which Clarity is legally required to issue a separate document. Statutory charges are calculated and treated according to the rules applicable to the relevant property and provider.

5. Climate Crisis Resilience Fee

Where the Climate Crisis Resilience Fee (TAAK) applies, the amount and collection method follow the law and the classification of the selected property. The legally liable Accommodation Provider is responsible for issuing the special receipt and declaring and remitting the fee. The fee is not subject to VAT and is not included in Clarity’s commission base. If the platform collects the fee in advance as part of the booking payment, it does so on behalf of the legally liable party and the amount remains subject to the statutory issuance and refund treatment applicable to the stay.

6. Card and bank-transfer payments

Card payments are processed through an authorised payment processor for Clarity. A card may be authorised before final capture; capture follows successful reservation verification. Clarity does not store full card details. Where bank transfer is selected, the exact amount must be received and verified within one (1) hour from the creation of the pending bank-transfer booking. During that window the platform creates a temporary inventory Hold for the selected dates. If administrator verification has not been completed within one hour, the Hold is released automatically, the pending booking expires and the process must be started again with a fresh availability and price check. A bank-transfer booking is not finally confirmed until the exact funds are verified and a fresh availability and price check succeeds. The guest must use the booking reference and avoid duplicate payments. If the property is no longer available when funds are verified, Clarity will offer an available alternative or return the received amount without unjustified delay.

7. Promotional codes

Promotional codes are subject to their stated validity period, eligible properties, dates, minimum stay or value, redemption limits and campaign conditions. Codes are not redeemable for cash, cannot be applied retrospectively and cannot be combined unless expressly stated. A discount applies only when accepted by the final checkout calculation.

8. Guest information, capacity and eligibility

The booking holder must be at least 18 years old, have legal capacity to enter the booking and provide accurate identity, contact, arrival and guest-number information. Occupancy must not exceed the property’s stated capacity. The booking holder is responsible for communicating the booking conditions to all members of the party and for their conduct and that of invited visitors.

9. House rules and lawful use

Guests must comply with the property-specific rules, check-in and check-out times, quiet hours and smoking, party, visitor, pet, parking and safety restrictions communicated in the listing, confirmation or property guide. Illegal activity, unauthorised events, commercial filming and conduct creating danger, serious disturbance or damage are prohibited. A material or safety-related breach may justify refusal of entry or termination of the stay, subject to mandatory law and proportionality.

10. Damage, loss and exceptional cleaning

The booking holder is liable, to the extent permitted by law, for actual and reasonably documented loss, damage or exceptional cleaning caused intentionally or negligently by the guest, party members or invited visitors, beyond normal wear and tear. Before payment is sought, the claim will be supported by appropriate evidence and the guest will receive a summary and a reasonable opportunity to respond. Amounts must reflect reasonable repair, replacement or cleaning costs, taking account of age and ordinary depreciation. No arbitrary penalty or automatic card charge is authorised by these Terms.

11. No-cancellation and non-refundable accommodation policy

All accommodation bookings made through Beyond Stay are non-refundable. After a booking has been confirmed, the guest may not cancel it, change the booked dates or transfer the booking to another property, and no refund or credit is due for no-show or voluntary early departure. This policy is uniform across all accommodation properties and is disclosed before payment. It does not exclude or restrict remedies that cannot lawfully be excluded, including where Clarity or the Accommodation Provider cannot provide the confirmed stay or where mandatory law requires another remedy. Where a refund is legally due or expressly approved because the confirmed stay cannot be performed, it is processed to the original payment method where possible without unjustified delay.

12. Withdrawal-right exception

The general 14-day withdrawal right for distance contracts does not normally apply to accommodation, car-rental, catering or leisure services supplied for a specific date or period. The cancellation policy displayed before booking continues to apply, and mandatory consumer remedies are not affected.

13. Experiences and separate third-party requests

Experiences, transfers, wellness services and other add-ons are handled separately from the accommodation booking. An inquiry or request does not confirm availability, price or a contract. Before the guest accepts a separate proposal, the proposal will state the service provider, service, price, inclusions, cancellation terms and any relevant safety or participation conditions. The third-party provider is responsible for the lawful and safe performance of its service; Clarity remains responsible for its own coordination, statements and payment handling, if any. Accommodation and such services are not sold through a single combined checkout under these Terms.

14. Availability, alternatives and events outside reasonable control

If confirmed accommodation cannot be provided because of an inventory failure, safety issue, government measure, severe weather, strike, infrastructure failure or another event outside reasonable control, Clarity and the Accommodation Provider will apply the accepted booking conditions and mandatory law. Depending on the circumstances, the remedy may include a suitable alternative, rescheduling or refund. The guest is not required to accept a materially inferior alternative. Nothing in this clause limits rights arising from a failure attributable to Clarity or the Accommodation Provider.

15. Platform use and intellectual property

Users must not misuse, test, disrupt or interfere with the platform; submit fraudulent information; attempt unauthorised access; resell availability without permission; or copy protected content or media for commercial use. The Beyond Stay brand, original platform content and software are owned by or lawfully licensed to Clarity. Property and provider media remain subject to their respective rights.

16. Liability

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability arising from fraud, wilful misconduct, gross negligence, death or personal injury where applicable, or mandatory consumer law. The Accommodation Provider is responsible for the accommodation and its personnel, facilities and performance. Clarity is responsible for its platform operation, booking information and communications, and payment handling. Neither party is liable for unforeseeable indirect loss unrelated to its own breach, to the extent permitted by law. The allocation in this clause does not reduce any mandatory right the guest may have against either party.

17. Privacy and communications

Clarity processes personal data as described in the Privacy Notice available on beyondstay.gr. Data necessary for the booking may be shared with the Accommodation Provider, payment providers and other recipients needed to perform the booking or comply with law. Operational booking, payment, safety and service messages are not marketing. Promotional communications are sent only where a lawful basis applies and may be unsubscribed from at any time.

18. Complaints, law and dispute resolution

Complaints should first be sent to info@claritygroup.gr with the booking reference and supporting material. Clarity will coordinate with the Accommodation Provider where the complaint concerns the stay. Consumers may seek assistance from a competent recognised alternative-dispute-resolution body, including the Greek Consumer Ombudsman where applicable. Greek law applies, without depriving consumers of mandatory protections of their country of habitual residence. Court jurisdiction follows mandatory law and, for other disputes, lies with the competent courts of Athens.

19. Changes, language and record of acceptance

The version accepted when the booking is submitted remains applicable to that booking. Later amendments apply only prospectively. The Greek and English texts are intended to have the same meaning; if an inconsistency arises, the Greek version prevails, without limiting mandatory consumer rights. Clarity may retain evidence of the version presented and accepted, the booking details and the time of acceptance for contractual, legal and audit purposes.
